The Business Services Division (BSD) and Information Technology (IT) have just implemented a number of online programs and databases that will automate processing of certain documents, enable internal and external users to view and monitor various stages of processing, improve internal control of data, validate funding, and eliminate missing documents and miscommunication. These systems will allow us to maximize our efficiency and accuracy in processing these documents.
The Contract Automation (CAT) Project will digitize all contract processing and use SharePoint to create workflow processes. This system will be validated against the Job Order Automation System (JOA) for funding and other project financial information. Information on all master agreements, construction contracts, subcontractors, HRC reviews, processing dates, modifications and accounting information will be available on CAT. Data in this system will be shared between Bureaus, interested outside parties, and other related systems thereby providing better communication both within and without our department. The automated DPW Order Number system went up live November 1st, while the Contract Service Order system went up live November 15th, with a pilot implementation for selected vendors November 1-14. The OFFMA 81 system has a proposed live date of December 15th, 2009. The website for the DPW Order Number system is: http://portal.dpw.ci.sf.ca.us.
Starting late August, BSD and IT have been offering training classes to all bureau staff who need to use these systems.
